Employee Handbook Mistakes

Employee Handbook Mistakes

An employee handbook can be one of the most useful tools a small business has—but only if it reflects how your business actually operates.

I regularly see employers make these common handbook mistakes:

1. Using a generic handbook without customizing it.A handbook downloaded from the internet may not reflect your business, your workforce, or the laws that apply to you. A policy that doesn't fit your organization can create more confusion than protection.

2. Including policies you don't actually follow. If your handbook says one thing but managers routinely do something different, you've created an unnecessary problem. Your written policies should match your actual practices.

3. Failing to update the handbook.Employment laws, regulations, technology, and workplace practices change. An outdated handbook can contain provisions that are no longer appropriate—or leave out policies your business now needs.

4. Giving managers too much discretion without guidance.Policies should provide managers with clear expectations for handling issues consistently. Otherwise, two employees with similar situations may receive completely different treatment.

5. Treating the handbook as a one-time project. An employee handbook shouldn't sit in a drawer until someone gets hired. Employees should know where to find it, understand the policies that apply to them, and receive updates when significant changes are made.

The bottom line

Your employee handbook should be a living document—not just a document you hand to a new employee.

A good handbook helps communicate expectations, promote consistency, and reduce unnecessary risk. But it should be reviewed regularly to make sure it still reflects your business and current requirements.

☑️DelfinoHR Action Step

Pull out your employee handbook and ask yourself one question:

"Does this handbook accurately describe how we operate today?"

If the answer is "I'm not sure," it's probably time for a review.

DelfinoHR helps small businesses develop practical HR policies, employee handbooks, and workplace practices that fit their organization—not a generic template.
